Expectations of Committee
Chairs
Even with capable members on your committee, a firm goal to
achieve, and the support of the SDBA staff, a committee
without strong leadership will be handicapped. During your
term as committee chair, the most consistent help will come
from the SDBA chair, president and staff. To a great
extent, your ability to work with them will determine your
success as head of your committee. Your success will also
largely depend on your ability to preside and guide the
meetings of the committee to a definite goal. Remember, your
job is to help the committee function, not do all the work
yourself. The following guidelines should assist you in
reaching that goal:

Assist in developing the committee objectives.

Inform committee members of objectives and
their expected individual contributions and responsibilities.

Work with SDBA staff to plan a tentative
calendar of meetings and conference calls at least three
months in advance with confirmation of meetings 30 days in
advance.

Work with SDBA staff to send email notification
to all committee members of pending meetings or conference
calls.

Always start the meetings on time and work with
a definite agenda.

Clearly state the reason for the meeting at the
beginning of the meeting – don’t meet if there is nothing to
discuss.

Make sure committee members get all the
information related to an issue, both the pros and cons.

Review and revise, if necessary, the
committee’s objectives relative to the mission statement and
objectives of the SDBA.

Retain control, but do not stifle free comment.
Invite constructive criticism and even disagreement. Ask for
support. Clarify issues by obtaining a consensus and then move
on.

Do not argue with the individual who has the
floor. Ask questions if you disagree, but remember that as the
presiding officer, you should remain neutral.

Make sure adequate minutes are kept of each
meeting and that they are distributed to each committee
member.

Liaise with SDBA staff on a regular basis.
Removal:
The committee chair, in consultation with
the SDBA chair, can remove a committee member from office
prior to the expiration of the term for which that committee
member has been elected.
